Dental cloud services: questions beyond server location

A practical interpretation of the privacy commissioner’s cloud guidance for a dental software purchase.

The guidance

The federal privacy commissioner’s cloud guidance addresses the responsibilities that remain when a business uses a cloud service provider. Outsourcing information processing does not make accountability disappear. The applicable rules depend on the actual arrangement and jurisdiction.

Our purchasing interpretation

Ask how the service separates customer accounts, manages support access and returns records at the end of a contract. Establish which organization can investigate an incident and how quickly the clinic will receive the information it needs. Obtain written answers for the specific service tier being purchased.

Test the exit as well as the entrance

A polished onboarding process tells only part of the story. During evaluation, export a sample record, inspect the file and ask what happens to copies in backups or connected systems. Document the agreed process before live information enters the service. A useful contract and a working export serve different purposes; a practice needs both.

Frequently asked questions

Does using a cloud vendor transfer every privacy responsibility?

No. Review the official guidance and the responsibilities retained by each party.

What is a useful demonstration request?

Ask the supplier to show access removal and a complete sample-record export, not only account creation.
