Dental privacy in BC: start with a data map
Understand the information a digital service handles before choosing forms, controls or a hosting arrangement.
The official starting point
The BC privacy commissioner explains that PIPA governs personal information practices of private-sector organizations in the province and provides privacy management resources. The applicable legal framework still needs to be assessed for the actual organizations and activities involved.
Our implementation approach
Draw the path of a sample record from the clinic to each service provider. Identify the information, purpose, people with access, storage location and intended retention. Include support access, backups and exports; these are easy to miss when a team looks only at the main application screen.
Make the map useful
Use the map to ask concrete questions of a supplier. Can an account be removed promptly? Who handles a correction request? What happens to an exported file after a contract ends? A written policy should describe the arrangements actually implemented. It should not promise controls merely because they appear in a template. Repeat the review when a new service or data use is introduced.
A closer look
| Focus | What to look at | Why it matters |
|---|---|---|
| Collection | Which fields enter the service? | Remove information unnecessary for the defined purpose. |
| Access | Which people and providers can see it? | Review support access as well as ordinary users. |
| Retention | Where do copies remain? | Include exports, backups and connected services. |
Frequently asked questions
Is Canadian hosting enough to establish privacy compliance?
No. Hosting location is one issue among purpose, access, safeguards, contracts and individual rights.
Can a template replace a data review?
No. A template needs to be completed against the service’s actual information flows.
