Dental software data portability: plan the exit before signing

How an export test can clarify whether a practice can retain usable records when a service changes.

Why portability belongs in procurement

The federal privacy commissioner’s cloud guidance is a starting point for reviewing outsourced data arrangements. A buyer should understand the relationship throughout its life, including what happens when the service ends.

Our practical approach

Ask for a sample export before signing. Open it outside the application and check whether another authorized reader can understand the record. Identify which attachments, versions and explanations are included. A table of identifiers may be technically downloadable but still require the original system to make sense.

Agree the transition

Record the format, delivery process, assistance and any charges for returning data. Clarify deletion and retained copies under the applicable arrangement. Repeat the export test after significant workflow changes. The goal is a usable transition plan, not simply the presence of a download button. Keep the user’s records needs separate from any claim that one format satisfies every legal obligation.
